How Far in Advance Should You Book Your Wedding Photographer?
How Far in Advance Should You Book Your Wedding Photographer?
Here's something we hear from couples all the time: "I wish we'd reached out sooner."
It's one of the most common things couples say after they've started planning — and honestly, one of the easiest things to avoid. The best wedding photographers fill their calendars fast. If you wait too long, you might end up choosing between whoever's still available rather than the photographer whose work you truly love.
So how far out should you actually be thinking about this? Let's break it down.
The Short Answer: Earlier Than You Think
Most professional wedding photographers book 12 to 18 months in advance for peak-season dates. If your wedding falls on a Saturday between May and October, expect popular photographers to have limited availability long before you've finalized your guest list.
That doesn't mean you're out of options if you're planning closer to the date. But the earlier you reach out, the better your choices.
How the Timeline Really Breaks Down
12–18 Months Before Your Wedding
This is the sweet spot. Once your venue is locked in and you have a date on the calendar, start reaching out to wedding photographers. You'll have the widest selection, the most flexibility on packages, and you'll cross one of the biggest items off your planning list with plenty of time to spare.
If you're planning a wedding in southern Minnesota, mid-Michigan, or really anywhere in the Midwest with a high-demand date — this is the window you want to be working in.
9–12 Months Before Your Wedding
Still very workable, especially for mid-week or off-season dates. Many wedding photographers will have openings. But if your date is prime-time — think Saturday in September — availability starts to narrow around here.
6–9 Months Before Your Wedding
You'll likely find someone good, but the photographers you had at the top of your list may already be gone. This is the range where we hear from couples who are genuinely surprised that a photographer they loved was booked. It's more common than most people expect.
Less Than 6 Months Out
Not impossible — but you'll be working with whoever happens to have an opening rather than making an intentional choice. If you're here, move quickly and be ready to book fast once you find someone whose work resonates with you.
Why Wedding Photographers Fill Up So Fast
A professional wedding photographer can only shoot one wedding per day. That limits most photographers to somewhere between 20 and 40 weddings per year once you factor in editing time, client communication, and the detail work that comes with each booking. Those slots go quickly — especially when word-of-mouth referrals and returning clients get first access.
Here in Minnesota and across the Midwest, summer and fall Saturdays are the most competitive. If you've got your eye on a specific Owatonna wedding photographer, a late-summer Michigan wedding, or a fall elopement on the North Shore, reach out the moment your date is set.
What to Have Ready When You Reach Out
You don't need everything figured out — but the more you can share, the faster a wedding photographer can tell you whether they're a fit and whether your date is still open. At minimum, try to have:
Your wedding date (or a range of dates)
Your venue or general location
A rough idea of what you're looking for (photo only, photo + video, how many hours)
Your budget range, if you're comfortable sharing it
You don't need a finalized guest list or a complete vendor lineup. Just enough context to start a real conversation.
Don't Forget About Your Engagement Session
Engagement sessions are easy to put on the back burner — but ideally, they happen 3 to 6 months before your wedding. That window gives you time to use those images for save-the-dates, get comfortable in front of the camera, and build a connection with your photographer before the wedding day itself.
The couples who say their wedding photos feel the most natural almost always point to one thing: the engagement session they did first. That comfort carries through.
What If You're Planning on a Shorter Timeline?
Life doesn't always follow a 14-month planning window — and that's okay. Smaller weddings, elopements, and intimate ceremonies can often be arranged on a shorter timeline. We've worked with couples on relatively short notice and made it work beautifully.
The key is to move quickly and communicate clearly about your priorities. If your date is flexible, that opens things up considerably. A Thursday elopement looks very different in terms of availability than a Saturday in August.
